From booked sessions to organised invoices and pensions.
Use the work you have already recorded to prepare invoices and keep pension administration visible—without starting again in separate spreadsheets.
Free to use. Start with 60 days full access, then keep all features with 5 bookings and 5 CPD entries per month, including AI. Optional Pro: £4.99/month for unlimited entries. No card needed. You can also try without an account.
A simple example
You have worked at three practices this month. Choose the month and all practices to preview separate draft invoices, then review each before sending. Pension records stay alongside your sessions, with submission dates and references recorded separately from invoice payments.
Explore the Work exampleSet practice defaults, keep control of each booking
Save a practice’s default hourly or per-session rate and whether you normally pension the work. New sessions can use those defaults, with an override when a booking is different. A full-day booking counts as two sessions for a standard per-session rate; morning or afternoon counts as one.
Choose a practice—or invoice in bulk
When creating invoices, choose one practice or all practices worked and define a month or date range. Review the eligible sessions and totals before creating drafts. Bulk creation produces separate invoices by practice, not one combined bill. Mileage is not added automatically in bulk; use the single-practice workflow if you need to include it.
Make regular invoicing easier
Enable scheduled draft invoices in a practice’s settings if you want help with recurring invoicing. The default schedule is monthly on the first, with adjustable timing and period. These are drafts to review, not permission to send an unchecked invoice.
Keep pension progress separate from payment
Review estimated NHS pension figures for work you intend to pension, and track Form A progress, PCSE submission dates, payment dates and references. An invoice being paid is not the same as a pension contribution being submitted or paid.
Prepare for PCSE, rather than replace it
Locum Notes helps you organise and review the information for the pension process. It does not sign into PCSE, submit pension forms automatically or confirm eligibility. You still complete the required process through PCSE and check the final figures and applicable deadlines.
